Quailbooks builds accounts payable tools and QuickBooks Online integrations for businesses. This policy explains what we collect when a business uses Quailbooks, what we do with it, and the choices you have.

What we collect

  • Account information: the names and email addresses of the people your business invites, and a hashed password for each.
  • Data from systems you connect: when you connect QuickBooks Online, we read your customers, items and invoices and create the invoices you tell Quailbooks to post. When you connect another business system (for example an inventory or order system), we read the records the integration needs, such as sales orders and customers.
  • Connection credentials: QuickBooks access tokens and any passwords for connected systems. These are encrypted at rest.
  • Activity records: a log of what Quailbooks did and who did it, so your team can review every decision.
  • Technical data: a session cookie that keeps you signed in, and standard server logs (IP address, time, page requested).

How we use it

Only to provide the service your business signed up for: syncing records between your systems, showing you what was posted or held, and sending the summaries you ask for. We do not sell your data, use it for advertising, or share it with anyone except as described here.

Service providers

We use a small number of providers to run Quailbooks: cloud hosting for our servers and database (located in Germany), an email delivery service for account and summary emails, and an AI matching service that may receive customer names to suggest which QuickBooks customer a record belongs to. Each receives only what it needs to do that job.

QuickBooks data

Quailbooks accesses QuickBooks Online only with your permission, through Intuit's authorization, and only for the purposes above. You can disconnect at any time from Quailbooks' settings or from your QuickBooks account (Apps > Connected apps). Disconnecting in Quailbooks deletes the stored access tokens immediately; disconnecting from QuickBooks revokes them, so they stop working at once. Records already created in QuickBooks stay in QuickBooks.

Retention and deletion

We keep your data while your business uses Quailbooks. If your business closes its account, or asks us to delete its data, we delete it within 30 days, except where we must keep something to meet a legal obligation.

Security

Data is encrypted in transit where the connected system supports it, credentials are encrypted at rest, access is limited to the people your business invites, and every change is logged.

Your choices

You can ask to see, correct or delete personal information about you by emailing us. If you are in a jurisdiction that grants additional privacy rights, we will honor them.

Changes

If we change this policy, we will update the date above, and tell account admins about material changes by email.
